Vestiaire Collective Shipping and Tracking Explained: Authentication, Quality Control and Delivery Times

A Vestiaire Collective order is not a single parcel journey. Depending on the shipping option, the item may travel from the seller to a Vestiaire Collective hub, spend time in authentication and quality control, and only then ship to you, with a second tracking number. That is why the order timeline in the app has stages a normal carrier feed does not, and why "where is my order" on Vestiaire has three different answers. This guide explains each shipping option, the deadlines Vestiaire Collective sets for sellers and buyers, what the quality control statuses mean, and what to do when a delivery is missed. Every rule is quoted from Vestiaire Collective's own help centre.

Short answer: Sellers have 7 days to ship or the order is cancelled and refunded automatically. With Direct Shipping the item comes straight from the seller and you have 72 hours after delivery to report a problem. With Authenticated Shipping the item goes to a Vestiaire Collective hub first, is checked "within 2 working days" of arrival and shipped to you "the same day" it passes; items arrive "within 7 days" on average. Express Delivery items are already at a hub, checked, and ship within 2 working days of your order. Tracking appears in My Orders, and the link can take up to 24 hours to show live carrier data.

The three shipping options

Vestiaire Collective's help centre lists three delivery methods, and the one on your order decides the whole journey.

OptionRouteWho checks the itemKey timings
Authenticated ShippingSeller → Vestiaire Collective hub → youVestiaire's authentication and quality control experts, in personSeller ships within 7 days; hub check within 2 working days; shipped same day it passes
Direct ShippingSeller → youNobody in between; you have 72 hours from delivery to report an issueSeller ships within 7 days; available on most items of €1000 or less when both parties are in Europe including the UK, the US, Canada, Australia, Singapore or Hong Kong
Express DeliveryVestiaire Collective hub → youAlready checked and approved before listingShips within 2 working days of your order; estimated delivery shown on the product page

Buyers can add a paid "Authentication & Quality Control" check to an order at checkout, "available for £15, or the equivalent in local currency, per item", which routes the item through the hub even where Direct Shipping would otherwise apply.

Stage 1: the seller's 7 days

Whatever the option, "Your seller has 7 days to ship your order. If they do not ship within this time, the order will be automatically cancelled and a full refund immediately processed." Vestiaire Collective does not extend this window; its seller guidance is blunt: "unfortunately we're not able to extend the time allowed to ship a sold item", and "sales are automatically cancelled once the 7-day shipping window expires". The one exception: "In the rare case that Vestiaire Collective does not provide a prepaid shipping label for the sale, the seller will have 14 days to ship."

For a buyer, this means an order with no tracking after a week is not lost; it is about to be cancelled and refunded. For sellers, the fix for a busy period is Vacation Mode, which Vestiaire recommends precisely so that "you never sell an item that isn't available to ship within 7 days."

Stage 2: at the authentication hub

With Authenticated Shipping, "The item is delivered by carrier to a Vestiaire Collective hub. Once received, our team will check your item within 2 working days. Once checked and approved, we will ship your item to you the same day." The check has two parts.

Authentication covers, depending on the item, "Packaging and dustbag, Material, Typography, Finishes and stitching, Metal parts and engravings, Serial number, Invoice, Authenticity card". If the item is refused, "a full refund will be issued."

Quality control follows authentication and checks that the item "accurately match[es] listings": condition, colour accuracy, size confirmation, material and catalogue rules. Vestiaire Collective publishes the three quality control statuses it uses:

Quality control statusMeaningYour move
Matches listingThe item is as describedNone; it ships the same day
Differs from listing but still acceptableSmall differences from the description or photosYou get a report and "72 hours to review the differences in our report and accept or reject the item as-is"
Differs drastically from listingMajor mismatchThe report explains; the order does not proceed as listed

If you do not respond to a report within the 72 hours, "We will automatically cancel the order if you do not respond." The report arrives "via email and order timeline". One detail worth knowing before you buy a bag with its original box: during quality control "competitor packaging will be removed and replaced with a Vestiaire Collective dust bag", and protective stickers or stuffing may be removed for inspection.

Stage 3: shipping to you

"We ship items the same day they pass Authentication & Quality Control, sharing tracking information and estimated delivery via email." On average, "items arrive within 7 days." Direct Shipping items get tracking "as soon as the item is shipped" by the seller. Express Delivery items ship "within 2 working days of your order".

Two timing notes from the help centre: "It can take up to 24 hours for the tracking link we send you to be updated with live information directly from the carrier", and "some carriers cannot update trackings on Sundays". From the carrier scan onward the statuses are the carrier's own, covered across our carrier tracking statuses library, including UPS, DHL and La Poste, the carriers Vestiaire Collective's seller guides cover.

How to track a Vestiaire Collective order

Buyers: in the app, Me → My Orders; on the website, My Account → Orders & Sales → Order History. Vestiaire also emails the tracking link when it is available. Sellers: Me → My sold items in the app, or My Account → Purchases & Sales → Sold items on the web, then Show Details. Sellers who see "delivered" in tracking but have not received Vestiaire's confirmation email should wait: "it can take up to 48 hours for the system to update."

Missed a delivery

Vestiaire Collective's guidance depends on the option. For any order, the carrier will contact you and may let you "Collect the parcel from the nearest post office or a collection point within 10-15 days", rearrange the delivery window, or choose a new address or collection point. With Direct Shipping, after several failed attempts "the item will be returned to the seller." With Authenticated Shipping, a parcel the carrier cannot deliver "may be returned to us", after which Vestiaire emails you to update your address and reships "free of charge", though "it is not possible to change the delivery country". If nothing is updated or claimed, "Your product will then be kept in our warehouse for one month" and after that "the Product will be relisted on your account." The general rules for a missed attempt are in attempted delivery meaning, and for a parcel heading back in package returned to sender.

Something wrong with the item

With Direct Shipping "you have 72 hours from the time of delivery to report any issues with the item you have received." With Authenticated Shipping the check happened before shipment, and the 72-hour decision point is the quality control report described above.

The merchant view

Vestiaire Collective's model is a two-leg journey with a checkpoint in the middle, and it manages the confusion that creates with hard, published deadlines: 7 days to ship, 2 working days to check, 72 hours to decide. That is a lesson for any brand whose orders pass through a hub, a 3PL or a customs stage: the customer tolerates a stage they can see with a deadline attached, and does not tolerate silence.

Pango gives brands that structure on their own orders: one order record across every leg, proactive messages at each handover with the expected next step, normalised tracking across 100+ carriers, and a returns flow that starts from the tracking page. The support load this removes is in what is WISMO.

The bottom line

A Vestiaire Collective order is best read as stages with deadlines: 7 days for the seller, 2 working days at the hub, 72 hours for you to decide on a report or a problem, and a second tracking number for the final leg. Know those and the timeline explains itself. For brands who want that clarity on their own two-leg orders, see the post-purchase operations platform and book a demo.
